Submission Guidelines

General information

Note: Submission deadlines have been extended.

All contributions (conference papers, long abstracts, and workshop descriptions) passing the review process will be included in the conference proceedings. The Proceedings will appear in the series Frontiers of Artificial Intelligence and Applications with IOS Press, Amsterdam.

The Proceedings are expected to appear in the Fall of 2020.

For contributions to be published in the conference Proceedings the following criteria must be fulfilled:

  • The contribution must be presented at the conference.
  • The presenter or main presenters must be registered at the conference.
  • For workshop descriptions: the workshop must take place at the conference and all workshop participants must be registered.

There are 3 types of general submissions: conference papers for sessions and workshops, workshop descriptions, long abstracts for workshops, and abstracts for plenaries and keynotes. These types of submissions correspond with the author’s role in the conference:

  • session speakers must submit conference papers.
  • workshop organizers must submit workshop descriptions.
  • workshop speakers must submit long abstracts or a conference paper.

All submissions to the Proceedings will undergo a blind review by at least two reviewers. (The conference papers published in the Proceedings from Robophilosophy 2018 can provide orientation on the level of quality aimed for. Please also consult the previous Proceedings to ensure that your conference paper reflects the current state of research in robophilosophy.)

It is possible to submit a conference paper to the Proceedings and a longer paper to the other publication venues that the conference organizers will prepare, as long as there is not more than 30% direct textual overlap. Detailed information about the additional publication venues (anthologies and special issues) will be distributed in personal mail, open call, and under 'Publication' on this website.

In the submission process you will also be asked to upload a short biographical statement (100 words) and a high-resolution picture (of the main presenter/s).

Submission of CONFERENCE PAPERS for publication in the Proceedings of RP2020:

  1. The general submission deadline is May 1, 2020. [No extensions possible]
  2. Please submit via EasyChair: https://easychair.org/conferences/?conf=rp2020
  1. Please prepare your conference paper as follows:
    • For the first submission there are no restrictions on formatting and any of the usual reference formats are accepted.
    • For the submission of the final version of your paper it is mandatory to use the publisher's templates for formating and referencing. Please find the documentation and templates here:
  2. Your conference paper should be about 4000-5000 words (max 10 pages in the template), including references and abstract (100 words).
  3. (The final version of) your conference paper MUST be checked for grammar and style by a native speaker of English. We cannot provide linguistic editing and we can only accept conference papers that are written in correct English (US or UK), with correct references and formatting, as specified in the instructions and template with text (see item 3).

For workshop organizers: Submissions of WORKSHOP DESCRIPTIONS for publication in the Proceedings of RP2020:

We invite proposals for workshops and panels. Workshops will take 2-hour to 4-hour slots, depending on the proposal and on availability of slots in the final program. Panels will take two-hour slots and, like the other submitted papers, should directly address the workshop theme. The format for workshops is free.

Contributors to the workshop are expected to contribute either a long abstract or conference paper based on their workshop contribution (see below).

Workshop organizers should submit a short description of the actual event with the following elements: Abstract (100 words), Description of topic and aims, List of presentations with short abstracts (100 words each) and bios (100 words each), Workshop format.

The workshop descriptions submitted for review by January 15 are preliminary descriptions; if the workshop is accepted for inclusion, the organizers are responsible for conducting an internal review process for all long abstracts and conference papers affiliated with the workshop using the RP2020 EasyChair infrastructure. Relevant access to EasyChair will be provided after acceptance. By May 1, the a final version of the workshop description as well as final versions of the contributions to the workshop (either long abstracts or conference paper) are to be submitted via the EasyChair system.

    • Your description should be about 1000-3000 words (max 4 pages in the template), including references
    • Your conference paper MUST be checked for grammar and style by a native speaker of English. We cannot provide linguistic editing and we can only accept workshop descriptions that are written in correct English (US or UK), with correct references and formatting, as specified in the instructions and template with text (see item 3).

Submission of LONG ABSTRACTS affiliated with a workshop for publication in the Proceedings of RP2020 (workshop speakers have the option to submit either a long abstract or a conference paper)

  1. Long abstracts are peer-reviewed (for further information and internal deadlines please contact your workshop organizer(s)). The submission deadline for the revised version of the long abstract is May 1, 2020.

    • For the first submission there are no restrictions on formatting and any of the usual reference formats are accepted.
    • For the submission of the final version of your long abstract it is mandatory to use the publisher's templates for formating and referencing. Please find documentation and templates here:
  1. Your abstract should be about 1000-2000 words, including references.
  2. In the submission process you will also be asked to submit a short abstract (100 words) which be used for the conference program (the text of your long abstract should not include an additional short abstract).
  3. (The final version of) your conference paper MUST be checked for grammar and style by a native speaker of English. We cannot provide linguistic editing and we can only accept conference long abstracts that are written in correct English (US or UK), with correct references and formatting, as specified in the instructions and template with text (see item 3).
