Practical Information

Conference Venue

The Icebreaker Reception on Monday evening will take place in the entrance hall of the Department of Geoscience, Høegh-Guldbergs Gade 2, Aarhus.

The rest of the conference will be a few buildings further up the road at the Aarhus Institute of Advanced Studies (AIAS), Høegh-Guldbergs Gade 6B.

All oral sessions will be held in the AIAS Auditorium, Building 1632, Room 201. and all poster sessions, coffee breaks, and lunches in the AIAS main hall on the ground floor. 

Several smaller meeting rooms in the building are available for conference participants if needed.

Code of Conduct

We want every participant to feel welcome, included, and safe. Our intention is to create a conference environment that is respectful and welcoming to participants of all genders, races, ethnicities, ages, abilities, religions, and sexual orientation.

During the conference, if anything occurs that makes you or someone you know feel unsafe or excluded, we ask you to contact either Christof Pearce (christof.pearce@geo.au.dk) or Caroline Brand (carbrand@geo.au.dk), to raise the issue. Any discussions will be dealt with in confidence. 

We follow guidelines adapted from the INQUA 2019 Congress and the 2020/2023/2024 QRA Annual Discussion Meetings. These guidelines are:

  1. Everyone involved with the 2026 ARCPaC conference is expected to show respect towards attendees, venue staff, the Organising Committee, volunteers, and all others participating in the meeting.
  2. The open exchange of ideas and freedom of thought and expression are central to the aims and goals of the 2026 ARCPaC conference.
  3. The 2026 ARCPaC conference will be an environment that recognises the inherent worth of every person and group, that fosters dignity, understanding, and mutual respect, and that embraces diversity.
  4. We will do our best to accommodate specific needs such as accessibility and dietary requirements.
  5. We expect all interactions between attendees to be respectful and constructive, including interactions during the formal programme.
  6. Unacceptable behaviour will not be tolerated at the 2026 ARCPaC conference. Examples of unacceptable behaviour include but are not limited to bullying, intimidation, inappropriate physical contact or unwelcome sexual attention, continuous disruption of events or interference with participation or opportunity for participation of other people attending the meeting.
  7. The 2026 ARCPaC conference prohibits recording/photographing as well as online posting of conference materials, talks, questions, etc., without consent.
  8. We require attendees to follow this code of conduct during the entire 2026 ARCPaC conference, including the field trip, and in all online interactions associated with the meeting (including social media and any other online facilities) and related social activities.

Guidelines for presenters

Poster presentations

Our poster boards are 150 cm wide by 120 cm high. We recommend printing your posters in A0 size in landscape orientation. We have two dedicated poster sessions in the program, but if possible (if the space allows) we hope to have all posters hanging during the entire conference. 

Oral presentations

We have 15 minutes for each oral presentation in the program and this includes time for questions, so keep that in mind when preparing your talks. 

The auditorium has a large projector screen, hooked up to a laptop with USB A and C ports. Session conveners will collect the files from all presenters before the session starts, so bring your file on a USB drive if possible. A laser pointer and a microphone will be provided to all presenters.

Travel

By air

Aarhus Airport

The airport is about 40 km from Aarhus city centre. The 50-minute journey can easily be made using the frequent airport bus. From Aarhus Airport, busses are coordinated in accordance with the flight schedule. You can get off both at Aarhus University (bus stop Nordre Ringgade) and the city centre by the train station.

Billund Airport

The bus from Billund Airport (Route 912X) stops at the train station in the city centre. The duration is about 1½ hours. You can find the bus schedule here: https://www.bll.dk/en/parking-and-transport/to-and-from-the-airport/busser/

Copenhagen Airport

From Copenhagen Airport you can either go by domestic flight to Aarhus Airport, which is a 45 minutes flight, or take the direct 3 hour train ride to Aarhus train station.

Taxi

Please note that taxis are expensive in Denmark. A taxi trip to Aarhus from Billund Airport will cost about DKK 1700 (approx. USD 300), and from Aarhus Airport the price is about DKK 600 (approx. USD 90).

By train

The train station is situated in the city centre (see location on the map to the right). You can find time tables and buy your e-ticket online at www.dsb.dk/en/;

Bus in Aarhus

The following busses will take you from the city centre of Aarhus to AIAS:

Bus 1A: Leaves from Banegårdspladsen, a few minutes’ walk from the train station, about every 10 minutes. Take the bus in the direction of Trige/Lystrup and get off at the bus stop Nørreport, a 5 minutes walk from AIAS. 

Bus 14: Leaves from Banegårdspladsen/Park Allé, a few minutes’ walk from the train station, about every 20 minutes. Take the bus in the direction of Skejbyparken and get off at the bus stop at Nørreport, a 5 minutes walk from AIAS. 

Bus 17: Leaves from Banegårdspladsen/Park Allé, a few minutes’ walk from train station, about every 30 minutes. Take the bus directed to Studstrup and get off at the stop called Nørreport, a 5 minutes walk from AIAS. 

Bus 33: Leaves from Banegårdspladsen, a few minutes’ walk from the train station, about every 30 minutes. Take the bus in the direction of Aarhus Ø and get off at the bus stop Nørreport, a 5 minutes walk from AIAS.

You can find general information on hotels in Aarhus here: https://conferences.au.dk/accommodation-in-aarhus. Although some hotels are closer to the conference venue than others, Aarhus is not very big and everything in the city center is within 15 minutes walking distance. 

Food

The conference registration fee covers the icebreaker reception, all coffee breaks and lunches, and the conference dinner on Thursday. 

Icebreaker reception

Monday 25 May, from 19:00 - 21:00 in the foyer of the Department of Geoscience. Drinks and light snacks will be served, but don't expect a full dinner. 

Lunches

Lunch will be served every day in the main conference venue AIAS. All lunches will be vegetarian. If you have any dietary restrictions, make sure to notify us during registration. 

Field trip

Everyone participating in the mid-conference excursion on Wednesday will get a sandwich for lunch. In the evening, people can meet at Aarhus Street Food for dinner. 

Conference dinner

The main conference dinner will be held in restaurant Hestestalden inside the open-air museum Den Gamle By.
